Admissions Clerk: Job Description

 

This position is responsible for obtaining accurate patient demographic and insurance information for both primary and secondary carriers, accurate verification of benefits and eligibility, maintenance of hospital census and control of the allocation of beds. Additionally, the position provides coverage of the switchboard, and serves as central communications to emergency support services, functions as a control for keys and personnel on property. Must be able to work rotating shifts, holidays, and weekends.

 

Responsibilities and Duties:

 

· Responsible for prompt, courteous reception and processing of all patients presenting themselves for treatment. Completes registration documents for all patients. Records all patients seen on registration logs.

· Responsible for accurate and complete collection of registration data. Gather insurance information, signatures and forms needed to submit billing to insurance companies.

Clinical Medical Assistant: Job Description

 

Provide support to the clinic’s health care providers and management regarding all aspects of patient care, clerical, environmental, and organizational tasks. Contribute to creating a positive and professional atmosphere where patients, guest, and colleagues are made to feel welcome and respected.

 

Responsibilities and Duties:

1. Demonstrate an attitude and behavior that coveys to our patients and coworkers that our relationship with them is valued and important.

2. Get a complete intake on each patient each visit. Instructions for proper intakes are given to every employee at fire.

3. Reason for visit, vital signs, medication list, problem list, and vaccines must be done before the chart can be moved to “ready for provider”.

4. Assist providers during patient appointments to maximize productivity and efficiency including room the patient, obtaining and documenting required vitals, preparing for examinations and procedures, collecting accurate patient histories, preparing orders/forms related to surgical/diagnostic procedures, assisting during exam and/or procedures. Relay instructions and information to patients and their families as directed by the provider.

5. Do quality measures on each intake.

6. Patients must have a minimum of three (3) vital signs each visit.

7. Work through personal and provider staff inbox throughout each day.

8. Return phone calls and patient cases on days they are received from patients regardless if you have an answer.

9. Responsible for timely communicating test results to patients.

10. Responsible for proper documentation within charts of phone conversations with patients.

11. Responsible for timely processing all prescription refill requests from providers, patients, pharmacies, and vendors.

12. Be able to assist providers in ordering, coding, and scheduling if and when needed.

18. Have working knowledge of performing EKG’s, lab draws, and in house lab tests.

19. Cleaning and sterilizing instruments used by providers and or oneself.

20. Making sure all needed paperwork is completed for each visit. Accident forms, self pay forms, consent forms.

22. Maintaining an up to date BLS certificate.

23. Respond appropriately to emergencies; work as a team member; recognizes problems with patients, staff, or operations and works quickly as a team member to resolve the problem. Identifies ways to improve practice operations.

24. Maintain drug sample closet and refrigerators, chemical solution, checking expiration dates, keep organized, dispose of expired drugs accordingly.

25. Exercises utmost diplomacy and tact to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to clinic police and HIPAA requirements.

26. Provider clinical support and coverage in other areas of the clinic when requested.

Clinic Receptionist

Attends to patients and visitors on the phone and in person. Coordinates and organizes appointments and documentation to facilitate the smooth running of the healthcare environment and support delivery of quality patient care.

 

Responsibilities and Duties:

 

  1. Answering multiple phone lines.
  2. Send patient cases to clinical staff as phone messages come in.
  3. Follow specific polices for all providers.
  4. When scheduling appointments, carefully screen patients for new addresses, new phone numbers, new insurance, any and all new patient information within the chart.

Financial Counselor: Job Description

A Patient Financial Counselor offers financial advice and assistance to patients regarding medical bills. They are the liaison between patients and their insurance companies; often coordinating payments and answering questions from both parties. Their job is to handle financial obligations so that patients and physicians can focus on healthcare.

 

Responsibilities and Duties:

  • Responsible for setting up payment arrangements with patients. Handles payments from patients in person or via phone.
  • Assists patients with HFAP and Medicaid and Victims of Crimes applications.
  • Responsible for collection of deductibles, co-insurances and co-pays prior to elective procedures.
  • Responsible for notifying self-insured patients prior to date of service the cost and set up payment arrangements.
  • Responsible for calling patients on the collection list and other collection reports.
  • Communicates with collections agencies, including appropriate reporting. Responsible for reporting payments to collection agency and setoff from receipt list that is worked daily.

HIM Clerk: Job Description

The HIM clerk is responsible for prompt and courteous responses to requests for medical information in accordance with HIPAA, state law and hospital policy. Greets people entering the department, ascertaining their needs. Answers and routes telephone and/or personal inquiries to appropriate person. Monitor’s transcription queue for reports. Reviews the electronic document management system and records contained within for appropriate image quality and indexing. Analysis of all types of records post discharge/service for physician documentation deficiencies which assists in the record completion process.  Assists the physicians with chart completion and maintaining the integrity of the medical record.  Daily follow up of deficiencies through reporting measures.  Release of information corresponding with attorney's offices, insurance companies, and Workman's Comp.  Process requests for medical records from the Billing Office.  Working knowledgeable of the electronic document management system.  Answering and directing incoming telephone calls.  HIS clerk reviews the electronic document management system and records contained within for appropriate image quality and indexing.  Pulls charts as requested for nursing staff throughout the facility.  HIS clerk also works with new mothers on birth certificates through Vital Statistics. Prepares documents for scanning into the electronic document management system.  Examines pages and verifies patient identification on each page. Scans and indexes documents into the electronic document management system.  Appropriately batches documents.

Position: ICU/CCU Registered Nurse PRN/F-T

Description:

  1. Maintains current knowledge of critical care.
  2. Demonstrates the ability to interview patient on arrival to ICU/CCU to establish the condition of the patient and urgency of care.
  3. Responsible for obtaining complete and accurate patient history of illness of injury and giving patient care in accordance to policies.

Insurance Biller

 

Description:

The Insurance Biller, a key position in the Revenue Cycle, manages the claims process, including accurate and timely claim creation, follow-up and correspondence with providers, insurance inquiries/correspondence. The incumbent will assist in the clarification and development of process improvements and inquiries, assure payments related to patient services from all sources are recorded and reconciled timely in order to maximize revenues.

 

Responsibilities and Duties:

 

  • Responsible for timely filing of all insurance claims, motor vehicle accident claims, workers compensation claims and Medicare secondary claims.
  • Responsible for timely follow-up of unpaid/denied claims, In Rycan and CPSI. Medicare biller works claims in RTP and keeps passwords updated.
  • Responsible for identifying overpayments on accounts and completing refund slip.
  • Medicare biller is responsible for reporting any credit balances to WPS quarterly.
  • Medicare biller is responsible for calculating the projected payments from Medicare.
  • Medicare biller is responsible for the auto secondary billing process.
  • Commercial/Medicaid biller is responsible for the daily deposit and scanning checks electronically to the bank.
  • Must utilize outstanding customer service skills.
  • Must use exceptional telephone etiquette.

Laboratory Aide/Phlebotomist: Job Description

 

Responsibilities and Duties:

  1. Collects blood sample by venipuncture, arterial and capillary puncture demonstrating skill with patients ranging in age from newborn to geriatric. Collects swabs, drug screens and paternity specimens.
  2. Greets customers in a courteous and professional manner. Communicates with customers by telephone to receive information, schedule out-patient testing and transfer phone calls.
  3. Coordinates with providers and clinics to ensure proper orders and specimens are received.
  4. Enters lab orders in CPSI. Aides in verifying order is complete with signature and appropriate diagnosis.  Processes specimens into this lab from outside sites.
  5. Responsible for the processing of pathology specimens for pick-up.
  6. Responsible for filing lab orders and faxing lab reports as needed.
  7. Responsible for checking lab orders and forwarding information to HIS.
  8. Responsible for stocking, cleaning, and maintaining lab supplies.
  9. May act as Lead phlebotomist/lab aide which includes keeping office procedures up to date, organizing and coordinating orders from clinics and other outside providers, overseeing phlebotomy inventory, overseeing report faxing and distribution, preparing supplies for clinics, and communicating changes related to office and ordering processes to all staff.
  10. Accepts and completes extra duties as assigned by Laboratory Team Leader.
  11. After proper training and competency checks, can do a limited amount of laboratory testing and aide in training other laboratory aide/phlebotomists.

Surgery Registered Nurse Circulator: Job Description

Description:

1. Adheres to hospital and department policies and procedures.

2. Maintains a good attendance record; arrives at work punctually and prepared; adheres to hospital dress code; demonstrates cleanliness; represents principles of good hygiene including clean and neat appearance. Wears name badge where it can be read.

3. Complies with daily staffing schedule; complies with call schedule and able to arrive at the surgery department within 30 minutes of time notified for emergency surgery when on call.

4. Demonstrates and utilizes critical thinking skills; performs and completes comprehensive data history for age ranges of patients served in a timely manner. Develops and implements plan of care specific to patients care needs. Instructs and educates the patient and family accordingly.

5. Collaborates with other members of the surgery team and medical staff and other providers to ensure optimal care to patients and their families. Maintain productivity by assuring staff is doing appropriate functions and that assignments are logical and appropriate to staff members.

6. Administers medications, blood and blood products and other treatments as needed. Maintain asepsis; transports patients as needed; collects and delivers specimens to appropriate areas; assists anesthesia provider as needed; responsible for positioning of patient along with anesthesia provider; provides patient comfort and privacy specific to all patient populations. Assists surgical team with room turnover and termination.

7. Attends and supports department meetings; participates in team process improvement.

8. Maintains current broad-based knowledge of pathophysiology and disease processes of conditions usually represented in the department. Identifies and develops opportunities for performance improvement.

9. Acts as charge nurse when assigned. Completes and adjusts patient and staff assignments so that care is delivered in a timely cost-effective manner. Monitors workflow and adjust assignments to assure optimum workflow. Anticipate needs, problems and crisis before they occur and develop a reasonable action plan. Support and encourage other staff members.

10. Communicates patient information; transcribes physician’s orders; uses computer system as indicated; charges equipment and supplies per policy; communicates effectively with manager, supervisor and others regarding any changes in the status of the patients or the department.

11. Ensures that patient care policies and procedures, and patients safety standards are maintained. Assure that unit and equipment are prepared and maintained for surgery. Reports any problems to the Nurse Manager promptly.

12. Completes hospital-wide in-service or tests as required throughout the hospital. Completes age specific testing competency and results filed with the Education Coordinator.

Specialty Clinic Reception: Job Description

 

This position is responsible for interacting with guests in a healthcare setting and managing administrative tasks for the medical team. Their duties include scheduling patient appointments according to doctor availability, explaining intake forms to new patients and processing payments after treatment.

 

Responsibilities and Duties:

 

  • Update monthly calendars and answer phones for physical therapy and specialty clinic.
  • Schedule appointments for physical therapy, Dr. Lin, Dr. Reader, Dr. Ansari.
  • Check in Dr. Bloedel’s patients using Dr. Chrono system-collect copays
  • Check patients in:
    • Explain ‘new information’ sheets to patients
    • Verify correct demographic information
    • Copy insurance cards
    • Collect co-pays-Dr. Richardson uses Paytrack fro copays
  • Collect info on patient’s recent tests from lab, radiology or area clinics if needed to by out of town Dr
  • Be familiar with each visiting physician’s preferences regarding their clinic
  • Escort patients to exam rooms and prepare them for examination - get: Weight ONLY and ONLY for Dr. Weber on occasion.
  • Reschedule appointments if needed.
  • Clean and stock exam rooms, make sure equipment is working properly.
  • Answer phone. Take messages for physicians – from patients, pharmacy or other physicians.
  • Fill out a ‘charge sheet’ for each physician clinic – send to Data Processing.
  • Keep storage / lab rooms stocked for each physician’s use.
  • Change specialist sign daily to reveal current physician(s).
  • Schedule any labs or tests ordered by specialty Dr’s with Scheduling (in-house).
  • Maintain order in the waiting area and keep patients informed of physician’s schedule.
  • Be able to block out / open up dates in EWS system. Will occasionally do this for Dr. Ansari in Athena.
  • Admit and Discharge all physical therapy patients in CPSI. When discharging patients, pull the chart from physical therapy department, check that there is a hand written discharge note and then discharge in CPSI. Send the chart to Medical Records.
  • Enter onset and start dates of physical therapy in CPSI. Verify insurances in Availity.
  • Get prior authorization for Sunflower patients.
  • Fax new patient sheets to Deb in Precert to check eligibility/benefits.
  • Scan all admission agreements, insurance cards and Dr. orders into CPSI.
  • Screen patients when needed. Ask COVID questions and take temperature.

How the bonus program works.
South Central Kansas Medical Center will pay you a "recruitment bonus" if your lead results in the permanent placement of a healthcare professional.
Bonus amount varies based upon the medical specialty being recruited:
 
$500 - Registered Nurse
$1,500 - Physical or Occupational Therapist
$2,500 - Mid-Level Practitioner (Physician Assistant or Nurse Practitioner)
$5,000 - Physician
 
Bonus will be paid in two installments. The first half will be paid upon the recruited party successfully completes 90 days of employment through SCKMC or an affiliated clinic.
The second half will be paid after the recruited party successfully completes nine months of employment through SCKMC or an affiliated clinic.
